Booking terms.

The agreement between you and T.C. Campers Ltd when you hire one of our campervans. The short version first, then the full terms in detail.

This page is a DRAFT. The summary below is written to be read; the full terms beneath are carried from T.C. Campers Ltd’s own terms and conditions and organised for the web. They await T.C. Campers’ legal sign-off against their source document before this page is published.

The short version

  • A booking is confirmed by our confirmation email. A non-refundable 20% deposit secures it; the balance is due 6 weeks before you travel.
  • Cancel more than 6 weeks out and you lose the deposit; 2 to 6 weeks out is 50% of the hire; under 2 weeks is the full hire.
  • Drivers are 25 to 79, have held a full licence 2 years, and pass an eligibility check. Up to four named drivers are covered at no extra cost.
  • A refundable security deposit is blocked at collection (1,250 pounds UK, 1,500 pounds EU, 5,000 pounds USA/CAN/SA) and released within 7 working days if there is no damage.
  • The price includes 20% VAT, unlimited UK and EU mileage, comprehensive self-drive insurance, breakdown cover, and the full kit.
  • The campervan leaves full of diesel and comes back full; collection is 2pm to 5pm and return by 11am. Bring the campervan back clean and tidy.
  • Dogs are welcome for a small nightly fee. No smoking or vaping in the campervan or awning. No off-roading, wild camping in the campervan, or overseas travel without prior agreement.

The full terms

1. Vehicle ownership

  • The vehicle remains the property of T.C. Campers Ltd at all times.
  • T.C. Campers may repossess the vehicle without notice if the hirer breaches this agreement.

2. The packs

  • Welcome Pack: complimentary refreshments and cleaning products.
  • Kitchen Pack: cookware, utensils, crockery, kettle, toaster, and safety items (fire extinguisher, first aid kit).
  • Camping Pack: chairs, tables, awning, canopy, pegs, ground sheet, carpet, mallet, electric hook-up cable, windscreen cover.
  • All packed items are on loan and must return with the vehicle; complimentary items are yours to use.

3. Collection and return

  • From 9 Castlehill Road, Walsall Wood, Walsall, WS9 9DA. The main driver must be present at both collection and return.
  • Collection is 2pm to 5pm, seven days a week; allow 30 minutes for the demonstration and paperwork. Return is by 11am on the final day.
  • Early collection at 11am is available in Mid and High Season for a 25 pound fee with 7 days written notice; in Low Season, times outside 2pm to 5pm are possible at no extra cost with 7 days notice.
  • Late return is charged at 50 pounds per hour.
  • Return with the same fuel level as collection, or a 25 pound charge plus the cost of the fuel applies.
  • Return the campervan with a clean interior and belongings removed; up to 50 pounds may be charged for excessive dirt, and for missing inventory items. Additional charges are deducted from the damage security deposit.

4. Minimum hire period

  • The minimum hire is 2 days across Low, Mid and High Season, including school holidays and the Easter and 1 May Bank Holiday weekends.

5. Booking and payment

  • The price includes 20% VAT, unlimited UK and EU mileage, comprehensive UK and EU self-drive insurance, standard equipment, and breakdown cover.
  • A non-refundable booking deposit of 20% of the total secures the booking. The balance is due in full 6 weeks before the hire starts; T.C. Campers may cancel if it is unpaid.
  • Payment is by credit card (Visa or MasterCard), debit card or bank transfer. No cheques or cash.
  • Bookings made under 6 weeks before the hire are paid in full at booking; the vehicle is not released without full payment.
  • An insurance surcharge may apply for a driver with two or more claims or a high-risk occupation.
  • Breakdown cover covers mechanical faults to the chassis base; the hirer is liable for call-outs caused by operator error such as a flat battery, wrong fuel or keys locked in.

6. Overnight festival bookings

  • Permitted at UK overnight festivals only, for an additional 60 pounds per night.
  • Select the festival option at booking or tell T.C. Campers in writing at least 7 days before the hire starts.
  • Failing to declare it may cost up to 100% of the damage security deposit.

7. Cancellation

  • 2 weeks or less before collection: 100% of the total hire charge.
  • 2 to 6 weeks before collection: 50% of the total hire charge.
  • More than 6 weeks before collection: the non-refundable booking deposit only.
  • If T.C. Campers cancels for reasons that are not the hirer’s fault, the hirer is refunded in full; if for a breach of terms, no refund is due. T.C. Campers’ liability for an avoidable cancellation is limited to direct costs up to 500 pounds.

8. Vehicle inspection and damage

  • A Vehicle Inspection Form records condition, fuel and mileage at the start and end of hire, and both parties sign it at both ends.
  • T.C. Campers notifies any known defects at the start; the hirer notifies any defects noticed and any damage, with photographs where needed.
  • A full pre-checkout inspection is carried out before each rental, and the hirer is shown how each system works.
  • If a system fails during hire, T.C. Campers will try to remedy it but cannot be held responsible; there is no obligation to refund or provide a replacement vehicle.
  • T.C. Campers is not responsible for damage or inconvenience from freezing conditions on winter hires.
  • The damage deposit is claimed against within 7 days of the hire ending; if no claim is made it is refunded in full.

9. Insurance and security deposit

  • Fully comprehensive self-drive insurance is included. Certain occupations are excluded (professional entertainers, sports persons, jockeys, racing, gaming, press and Foreign Service personnel, except 2-year-plus UK or EU licence holders).
  • A security deposit is blocked on the main driver’s card at collection: 1,250 pounds minimum for mainland UK licence holders, 1,500 pounds for EU, 5,000 pounds for USA, Canada and South Africa (which also require 2 weeks-plus UK driving experience).
  • The deposit is refunded within 7 working days of return, subject to the collection and return criteria and no outstanding claims.
  • Damage from collisions, traffic incidents and accidental damage is deducted from the deposit; any excess over the deposit is the hirer’s responsibility within 7 days of the hire ending.
  • Driving outside the contract period leaves the hirer wholly liable for damage, injury and consequential loss, and legal action may follow.

10. Requirements for all drivers

  • Drivers are 25 to 79 (maximum 70 for EU, USA, Canada and South Africa licence holders) and have held a full valid licence for at least 2 years.
  • Excluded are certain endorsement codes (AC, BA, CD, DD, DR, IN, LC, MS, UT, MR, TT), any disqualification, and anyone excluded or refused cover in the last 5 years. No more than one fault or outstanding claim in the last 2 years.
  • No medication or condition impairing driving; relevant medication is declared 7 days in advance.
  • Documents: a photocard licence at the current address, two proofs of address, and for EU or international drivers a passport too; all names and addresses must match.
  • All drivers sign the rental agreement. T.C. Campers may carry out identity and history checks and may refuse a hire if requirements are not met.
  • Only named, approved drivers may drive. Drivers are liable for all legal penalties incurred during the hire.

11. Hirer’s responsibilities

  • The hirer is responsible for the vehicle’s security at all times, and for keeping it roadworthy and reporting faults promptly.
  • Off-road driving is prohibited except reasonable campsite or car park access; breakdown cover is roadside assistance only, and recovery costs are the hirer’s.
  • The hirer is liable for parking and speeding fines, impound and on-the-spot fees (a 25 pound admin fee may apply), lost keys, forced entry, wrong-fuel repairs, overhead damage (above 6 feet / 1.87m), windscreen, tyres and punctures.
  • Check tyres and fluid levels daily. The hirer may not sell, rent, lend or dispose of the vehicle or its parts.
  • T.C. Campers is not responsible for personal belongings; the hirer vacates the vehicle empty of possessions.

12. Emergency and damage reporting

  • In an emergency, pull over safely and contact the RAC on 0333 202 3000 (or text 0785 582 8282), then T.C. Campers on 07777 159 304. Breakdown service is 24/7.
  • The hirer may authorise necessary repairs up to 50 pounds, reimbursed against a VAT receipt; repairs above 50 pounds need T.C. Campers’ authorisation.
  • Report damage immediately with who, what, where and when; for accidents note the third party’s details and gather photos.
  • If the vehicle is unusable and no replacement is provided, the hirer is refunded for the complete days lost, with documentation; other consequential expenses are not covered.

13. Use of the vehicle

  • Drive cautiously and normally, within the law, and only in permitted areas.
  • The vehicle must not be driven under the influence of alcohol or drugs, by anyone outside the age and experience rules, or by anyone not authorised on the insurance and agreement.
  • It must not be submerged in or driven through water, used illegally or for racing, used to tow, used commercially, overloaded or over-occupied, or used to carry hazardous materials (beyond the provided gas bottles).
  • No off-road or unsafe surfaces without prior written approval, no overseas travel without prior written permission, and no modifications without consent.

14. Smoking

  • Smoking and vaping in the vehicle and the driveaway awning are strictly prohibited; any sign of it is charged against the damage security deposit.

15. Pets

  • Pets are welcome for a flat fee of 2 pounds per pet per night: a maximum of one medium pet or two small pets, dogs and cats only.
  • Pets must be house-trained, well-behaved, vaccinated and parasite-free, secured while the vehicle is in motion, and never left unattended in the vehicle.
  • No pets on the beds or furniture (bring their own bed). The hirer removes all hair and waste before return and is liable for any pet-caused damage.

16. Errors in hire charges

  • The hirer pays any shortfall and is refunded any overcharge that T.C. Campers acknowledges.

17. Car parking

  • Free parking for the hirer’s own vehicle is provided during the hire, at the owner’s risk, at no extra charge.

18. Availability

  • If circumstances beyond its control prevent availability, T.C. Campers may offer a suitable alternative; if none is suitable, its liability is limited to a refund of monies paid.

19. General

  • The hirer is responsible for roof damage and for recovery costs from off-road or soft-ground parking.
  • Passengers must wear the provided seatbelts; all hatches (including the pop-top) and doors must be securely fastened in transit; the vehicle must not be overloaded and must be locked with valuables secured when unattended.
  • Personal possessions are not insured; separate travel insurance is recommended. Any change to the agreement is made in writing and signed by both parties.
  • A GPS tracker is fitted for security and insurance; T.C. Campers may retrieve its information where a public authority has an interest. Specification, charges and terms may be added to or amended without notice.

20. Data protection

  • Information provided is used only to fulfil the rental agreement and is not passed to external organisations except insurers, public authorities where relevant, and the authorities issuing fines or points.

21. Governing law

  • This agreement is governed by the laws of England and Wales and is subject to the exclusive jurisdiction of their courts.

22. Entire agreement

  • The rental agreement is the entire agreement, with no other oral undertakings or warranties. Nothing limits liability for fraud, and the hirer’s statutory rights are unaffected.
